For review by lawyer. This is a draft that describes what EaglesEntry does today. It is published so the structure and wording can be reviewed; it is not yet approved by counsel. Notes marked “For review by lawyer” show where counsel’s input decides the text.

For review by lawyer. Greece edition. The EU/EEA supplement applies: GDPR rights with a one-month reply, our EU representative’s contact, opt-in cookies, and the local data-protection authority as your complaint route. Read the country supplement

What we collect, why, who sees it and your choices. This notice describes what EaglesEntry does today.

1. Data we collect

  • Account: your email, name, sign-in provider, the fact that you confirmed you are 18+, your country and the terms you accepted.
  • Profile and resume: what you add in your profile, Resume Studio, Resume Pitch and job preferences; a resume you upload.
  • Applications: what you send to a company, kept as a record with the company.
  • Use of EaglesEntry: saved jobs, alerts, searches, pages visited and, with Electron, your conversation.
  • Recruiters: work email, title, company, the jobs you post and your review notes.
  • Blocks and reports: whom you blocked, and reports you sent or that concern you.
  • Technical: device, browser, approximate location from your IP address, and our own visit measurement (see the Cookie Policy).

For review by lawyer: reconcile this list with the data map and the retention schedule in legal-research before publishing.

2. How we use it

  • To run EaglesEntry: show jobs, match them to you, send your applications, let recruiters review applicants, run company pages.
  • To keep people safe: reviews of posted jobs, reports, blocks, fraud and abuse prevention.
  • To talk to you: job alerts and emails you chose, and service messages about your account or applications.
  • To improve EaglesEntry, using aggregated measurements. We don’t sell your data and we don’t train AI models on your content.

3. Who sees your data

  • Companies you apply to, and the recruiters at those companies who review the job.
  • Recruiters at companies you applied to, if you turn on Candidate Discovery.
  • Our service providers: the platform that hosts EaglesEntry, email delivery, payment processing for recruiters, and AI providers for the AI features. Each sees only what its job needs.
  • Authorities, when the law requires it or to protect someone’s safety.

For review by lawyer: list every provider by name with its role and location, and the legal basis for each transfer outside the user’s country.

4. Company pages and recruiters

A recruiter who requests to join a company page shows the page’s owners their name, title and work email. Recruiters choose whether their name and title appear on the public page. Companies see applications as records; they don’t see your blocks or reports.

5. Your choices and rights

  • Change your profile, Candidate Discovery, emails and sensitive-data choices in Settings & privacy.
  • Delete your account and data there too; applications you sent stay with the company until their retention date.
  • Ask us for a copy of your data, or to correct it, through the contact form.
  • Where you live may give you more rights (for example in the EU, the UK, California and other US states); see the regional sections.

For review by lawyer: add the regional supplements (EU/UK, US states) and the representative contacts from legal-research/privacy-notice-structure.md.

6. How long we keep data

Your account data for as long as you have an account, and up to 30 days after you delete it. Applications for the company’s retention period. Reports and decisions for 12 months. A hashed copy of your email so we don’t email you again. Anything the law requires us to keep, for as long as it requires.

7. AI and automated decisions

We use AI on your side only. Automated steps that use your data: (1) job recommendations, a vector of your resume and preferences compared with every job to order your Recommended list; (2) match levels, an AI estimate of fit (Strong to Low) with a short reason, shown to you alone; (3) job reading, an AI reads every posting to extract experience, pay and work-authorization wording before it is listed; (4) resume pitches and bullets, drafted by AI from your own resume and approved by you before any recruiter hears them; (5) Electron, an AI assistant that searches jobs and talks about your resume. Spoken AI content is labelled as an AI voice.

What is not automated: no AI scores, ranks, summaries or notes about you are shown to employers; no application is rejected by a machine; screening questions are compared by fixed rules the employer wrote and marked as a neutral flag; nothing you give us trains an AI model. The AI providers we use process your data under contracts that forbid training on it.

Your controls: every AI feature has a switch in Settings › Data privacy › AI and automated decisions, and the app works with all of them off. In Québec and Singapore, personalised recommendations and match levels start off until you turn them on. You can ask how a match level was reached, correct a fact, request a human review or an accommodation; a person answers within the time stated on the request, and the request and answer are kept on your account.

For review by lawyer: this section is written for the Australian APP 1.7–1.9 statement (due 10 December 2026), GDPR Art 13(2)(f), the Singapore PDPC AI guidelines ¶9, Québec Law 25 s.12.1, Colorado SB 26-189 and California ADMT (2027); confirm the wording per country and the legal basis table.

8. Contact

Questions about privacy: use the contact form or write to the address below.

For review by lawyer: insert the privacy contact, the EU/UK representative and the data protection officer if one is appointed.
